Advance-replacement warranty pool for fleet orders

Warranty-failed units ship a replacement same-day from a reserved buffer while the failed device returns on a prepaid label. Terms on /legal/warranty.

Chain-of-custody log per PO

Signed handoff at each step — intake, grading, functional test, asset-tag application, pack-out, carrier pickup. Exportable PDF per purchase order.

Vendor onboarding kit

W-9, Certificate of Insurance, and ACH instructions bundled in one PDF so procurement and AP can set us up on the first pass.

Optional: NIST 800-88 certificates per drive

Payment & terms

Net terms apply to approved accounts. International wires settle in USD.

  • NET 30 on credit approval (same-day application, 2-day decision).
  • Purchase orders accepted against an approved account.
  • ACH, wire (domestic and international), and card payments.
  • W-9 and Certificate of Insurance on request.

How a typical refresh runs

    Share spec + count + grade tolerance

    Send the CPU, RAM, SSD, and display spec, the unit count, and the cosmetic-grade floor you will accept. We confirm availability the same day.

    Matched-batch assembly confirmed

    We reserve units that meet the spec, confirm the exact configuration on each line, and hold the batch against your PO.

  3. 03

    Ship staged in waves with deployment windows

    Release in waves that match your deployment calendar — by site, by team, or by week — so staging racks do not overflow.

  4. 04

    CSV of serials delivered; advance-replacement queue stands by

    On dispatch you receive the serial/grade/test CSV for CMDB import. The advance-replacement pool is live from the day the first wave lands.

FAQ

What IT departments ask first

Can you match a specific CPU, RAM, and SSD spec across a batch?

Yes. Send the exact configuration (for example: i7-1185G7 / 16 GB / 512 GB NVMe) and the count, and we confirm a matched batch before the PO lands. If the full count is not in stock we quote partial fulfilment with the balance against a firm lead time rather than silently substituting parts.

Do you carry new units or refurb only?

Both. Most fleet orders mix new and certified refurbished to hit a cost target — we break out the split on the quote so procurement sees what is what. New carries full manufacturer warranty; refurbished carries our 12-month warranty. See /legal/warranty for the full terms.

How does advance-replacement work?

During the warranty period, open an RMA in your account portal. For fleet orders we ship the replacement unit the same business day from a reserved buffer while the failed device returns on a prepaid label — the user is not left waiting for an RMA cycle. Pool size scales with the order.

Can you apply asset tags from my existing range?

Yes. Upload a tag template (PDF or barcode spec) plus the starting number or an explicit range, and we label each unit at the warehouse. The applied tag appears on the serial CSV alongside the device serial so your CMDB import lines up on the first pass.
